Job Description

Role Title: IT Operations Analyst

Reports to:  Senior Service Delivery Manager

Division: Corporate Services

Department: Information Technology

Role specific purpose:     

Purpose:

The individual will work as part of the CFG IT Team which is responsible for implementing, supporting, and maintaining IT systems to a high standard.

The role will be responsible for undertaking a wide range of admin tasks for the IT team.

 

Role specific accountabilities:

Software Licensing – The role will play a key part in ensuring that systems are licensed correctly. Key systems that will be in scope are Microsoft 365 and Adobe, so past experience would be an essential.

You will also be expected to use existing IT tools to identify any areas where licenses are not being used and maintain this as required.

System Administration – Managing user accounts, in particular starters, leavers and transfers.

Liaising with HR and line managers, to ensure the starter process is running effectively and that the correct software and hardware is made available.

Ensuring access to IT systems and applications is removed from all leavers and that their accounts are closed on the day they leave.

Hardware Management – Managing the supply of new hardware including laptops, Apple macs and mobile phones.

Ensuring that devices are returned as close to the end of their lease date as possible and working with the Service Desk team to achieve this.

Organising the removal of any electronic waste from IT storerooms, working with the wider IT team to ensure that they are kept in an appropriate state.

Contract Management – Build a database using existing tools of IT-related contracts, including their renewal date, termination details and the IT owner. Ensuring that reminders are sent prior to renewals being due so renewals are processed on time.

Purchase Management – Raise purchase orders for the IT team, getting approval from the heads of departments as required. Liaising with Finance to ensure that purchase orders are raised at an adequate time.

Using approved IT suppliers, ensure that we are getting the best value when purchasing.

Mobile Phone Contract Admin – Run regular reports on the mobile phone contract identifying excessive usage. Also use the reports to identify any devices that are underused, ensuring we are operating in the most cost-effective manner.

Role specific knowledge, skills and experience:

Essential:

  • Minimum 1 year experience in an IT position
  • Minimum 2 years experience in an admin role
  • Excellent level of customer service
  • Demonstratable experience of following policies and procedures in a consistent manner
  • Ability to prioritise and manage workload effectively
  • Demonstrate security-conscious practices
  • Good operational knowledge of Office 365 administration
  • Experience in building relationships with third parties and suppliers
  • Experience in system administration for business applications

 

Desirable:

  • Knowledge of Service Management processes e.g., ITIL
  • Experience in creating supporting documentation
  • Experience in using an IT Service Management tool
  • Experience in contract renewals and liaising with both suppliers and legal teams
  • Understanding of Microsoft 365 licensing
