Job Description

Role Title: Protocol Assistant


Reports to:  Head of Protocol and Player Activation

Division: Corporate Services


Department: Communications

Role specific purpose:     


The Protocol Assistant will support the Protocol team to ensure a best-in-class guest experience at City Football Group/ Manchester City FC match days and official Club events and with the Protocol department’s strategic invite and networking process, building on current relationships and creating new links between CFG Board/ LT and key stakeholders and external contacts.

Role specific accountabilities:


Match-day preparation (home and away) – provide administrative support (collating guest lists, producing match-day itineraries and ticket collection information, preparing lanyards and tickets).


Home match day – assist and act as a runner on match day (gifts, guest movement etc)



Gain an understanding of CFG Leadership Team(s) and Board, in order to support with the coordination of their attendance at games



Assist with logistics of UEFA Official Banquet and additional UCL match day activities



Assist with logistics and gifting at VIP visits and CFA tours


Support with the smooth running of special events, including support with briefing documents, maintaining staff attendance database, distribution of tickets (concerts etc.) and where necessary, onsite support at the event.



Assist with City VIP database - input data to ensure it is kept up to date



Support with the purchase and compiling of gifts for guests on matchday and at special events.

Record gift-giving and receiving.

Role specific knowledge, skills and experience:


  • Experience in Communications, Events and Administration.
  • Excellent written and verbal communication skills, fluent in written and spoken English
  • IT literate to a high level
  • Strong administrative skills
  • Highly organised with attention to detail
  • Articulate, strong interpersonal skills and confident communicating at all levels
  • High levels of integrity and discretion
  • Resilient and able to work effectively under pressure
  • Flexible approach to workload - long and often unsociable hours
  • Responsive to change and calm under pressure
  • A helpful and ‘can-do attitude
  • Individual and team approach to work


  • Hospitality/ Front of House/ VIP/ protocol experience
  • Fluent in a 2nd language
  • Experience in a “front of house” role in a service industry, customer service
