The successful candidate will support the City Football safeguarding team in the administration of the criminal records checks process and other related activities.

Your Impact

1. Criminal Record Checks:

• Administer and process criminal record checks for all relevant individuals.

• Ensure all checks are completed accurately, quickly, and in line with statutory requirements and organisational policies.

• Maintain up-to-date records of all completed checks and ensure they are stored securely in accordance with local data protection regulations.

• Monitor the status of ongoing checks and follow up on any delays or issues.

2. Safeguarding Compliance:

• Assist in maintaining the safeguarding database, ensuring all records are accurate, up to date, and compliant with current legislation.

• Regularly audit records to ensure continuous compliance and identify any areas that require attention.

• Work closely with the HR department and other relevant teams to ensure all staff and volunteers meet safeguarding requirements before commencing their roles.

• Assist with other compliance related tasks as and when required.

3. Communication:

• Liaise with external agencies, such as the DBS or equivalent, to ensure efficient processing of checks.

• Provide regular updates to other key stakeholders on the status of criminal record checks.

• Respond to inquiries regarding the status of checks and provide guidance on the process to relevant individuals.



 

What we are looking for

Essential

  • Experience in an administrative role,
  • Excellent organisational skills with a high level of attention to detail.
  • Ability to manage sensitive and confidential information with discretion.
  • Strong communication and inter-personal skills - written and verbal.
  • Proficiency in using office software, including word processing, spreadsheets, and databases.

 

Desirable

  • Previous experience working with the DBS or similar criminal record checking systems, preferably within a safeguarding or HR setting.
  • Knowledge of data protection regulations and compliance requirements.
  • Experience in working within sport, leisure, educational, healthcare, or non-profit sectors.
  • Strong understanding of safeguarding practices and the importance of criminal record checks.
